Emails received by the tournament team

When a bowler registers online:
The booking system we use—Amelia—automatically sends a notification email to cosburntourneys@gmail.com when someone registers for a tournament. You don’t need to reply directly to this email because the registrant gets an automatic confirmation.

When a bowler emails the tournament team directly:
Some bowlers send an email to the tournament team asking to register. They may email cosburntourneys@gmail.com or tournaments@cosburnbowls.ca (emails sent here are automatically forwarded to cosburntourneys@gmail.com). If you have the information required (name, phone number, email address, and home club), you can register the bowler online (see How to add, cancel, or modify a tournament registration); the bowler will receive a confirmation.

When a bowler emails another address:
Bowlers occasionally send emails to our general mailbox, info@cosburnbowls.ca, or to personal email addresses of current or past tournament chairs. Volunteers should forward those emails to cosburntourneys@gmail.com.

Emails sent automatically to registrants

Amelia allows us to send out automatic confirmation and reminder emails. We send the registrant:

• a confirmation email when they register for a tournament
• a reminder email 5 days before a tournament
• another reminder email the night before a tournament

Sending a one-off email to registrants

Occasionally, you need to email the people who have registered for a tournament. But don’t duplicate the automatic emails if possible; bowlers should feel our emails are welcome and useful, not spam.

To get the email address for one registrant:

1. Log in to the Tournament Drawmaster Dashboard at www.cosburnbowls.ca/tournament-drawmaster-dashboard/ with your tournament team credentials.
2. The event panel should show a list of all upcoming tournaments.
3. To email one registrant, select the Attendees icon next to the tournament and select the email address (or phone number) you need.

To get a list of email addresses for all registrants:

1. Log in to the Tournament Drawmaster Dashboard as above. Amelia does not have an automatic “Email all” function, so we use a workaround.
2. Select the Event Details icon next to the tournament.
3. Change the event end time (the second time). Select Save at the bottom. This will trigger an email to be sent to the Tournament team email, cosburntourneys@gmail.com. The email will contain a list of all the registrants’ email addresses, as long as they have been registered online.
4. Change the time back and select Save. A second email will be triggered; you can ignore it.

Sending promotional emails to all bowlers

Do not send mass emails to all the bowlers in your email contact list or to all the bowlers in the club. Your address or cosburntourneys@gmail.com will almost certainly be flagged as a spamming account, and emails you send in the future may be diverted to spam folders. Please work with the Communications Chair. The club uses software for promotional email that helps reduce the risk it’s marked as spam.
